A kiosk RFQ should describe the customer task, installation site, software, required devices and acceptance tests. Ask suppliers to quote the same configuration and state what is excluded. This makes proposals easier to compare and reduces changes after the sample arrives.
This checklist is for distributors, software companies and system integrators buying self service kiosk hardware. It covers what to include in the request, not a fixed AONPOS configuration or a promise that every module is available.
Describe the Customer Task First
Write the main task in plain language: choose and pay for a meal, scan products at checkout, pay an existing bill, check in or look up information. Then describe the steps from the welcome screen to completion. Include the receipt, ticket or other result the customer should receive.
Also describe exceptions. What happens if the payment is declined, the printer is empty or the network drops? Decide whether customers can retry, cancel or call staff. These decisions affect the application, devices and service access, so they belong in the RFQ rather than after enclosure approval.
Provide the Installation Conditions
Space and Mounting
State whether the kiosk will stand on the floor, sit on a counter or mount on a wall. Provide available width, depth and height, plus photos or a simple site drawing. Identify the fixing surface and allow space for doors, paper loading, cables and component removal. Confirm mounting and stability requirements with the party responsible for the site.
Environment and User Access
Describe indoor or outdoor placement, direct sun, moisture, dust, cleaning methods and expected operating hours. Do not request an outdoor label without defining actual exposure. Ask for evidence suitable for the proposed equipment and environment.
Include reach, viewing angle, wheelchair approach and other access needs in the site review. Local requirements should be checked by the responsible project team. Screen size alone does not establish accessibility.
Specify the Display and Software
Provide the screen orientation, intended interface and any size limits. The application team should review text size, touch targets and the amount of information shown at each step before the display is fixed.
State who supplies the application, which operating system it supports and how it communicates with printers, scanners and payment devices. Ask the software provider for computing, driver and storage requirements. If the application is not ready, identify this as an open item instead of asking the hardware supplier to assume compatibility.
List Each Required Device Separately
For a receipt or ticket printer, describe the output, paper format, cutting needs, paper loading access and software connection. For a scanner, list the codes to read and whether they appear on paper or phone screens. For a camera or document reader, describe the task and the software responsible for recognition.
Separate required items from possible future options. Ask the quotation to label each device as included, optional, supplied by the buyer or not offered. Do not treat an enclosure opening or an example product photo as confirmation that the device is included.
Keep Payment Responsibility Clear
Name the payment terminal or payment provider if already selected. Confirm who supplies the terminal, approves its mounting, develops the application connection and checks the transaction result. Payment provider and local approval requirements must be resolved by the responsible parties.
If cash is required, state the cash acceptance and change functions explicitly. A cashless kiosk does not include these functions by default. Do not substitute a general card reader description for a confirmed payment device.
Define Network and Service Access
State which network is available at the site and who manages it. Include any connection restrictions and the expected response when the service is unavailable. Remote access, software updates and recovery need an identified owner; they should not be assumed to be included with the hardware.
Ask how staff refill consumables, clear jams and reach service parts. Identify who can open the unit and who handles faults at each location. For several sites, discuss spare parts and replacement procedures before approving the bulk configuration.
Ask for a Comparable Quotation
Provide the sample quantity, pilot quantity and expected order range separately. State the destination and required project date. Ask the supplier to separate hardware, optional devices, design work, software work, packaging and freight where they apply.
Request the proposed configuration, exclusions, drawings, sample steps and any unresolved questions in writing. For AONPOS orders, shipping method, timing and cost are discussed against the specific order and customer requirements. Do not compare headline prices when the included items differ.
Agree on Sample Acceptance
Test the intended application with the actual devices. Cover normal completion, cancelled or failed payment, paper replacement, scanning, restart and network recovery. Check access to the printer and internal components using the proposed installation position.
Record what was tested, the configuration and any changes needed. Approve the final configuration and responsibilities before moving from sample to pilot or bulk supply. A successful basic demonstration is not the same as passing the complete customer workflow.
Questions Buyers Often Ask
Can I request a quote before the software is finished?
Yes, but describe the planned workflow and label missing software requirements as open items. The first quote should not be treated as final compatibility approval.
Should I ask every supplier for the same screen and modules?
Use the same required task, site limits and device list. Suppliers can propose alternatives, but ask them to explain each change so the proposals remain comparable.
Does payment hardware include the payment service?
Do not assume so. Confirm the terminal, payment provider, application connection, approvals and fees with the responsible parties.
Discuss Your Kiosk Requirements
Send AONPOS your workflow, site details, software environment, required devices, quantity, destination and project date through the project inquiry form. Browse self service kiosk hardware or use the payment kiosk FAQ for short purchasing questions.
